The next IAU General Assembly will be held in Rio de Janeiro, Brazil, in August 3-14, 2009. The City of Rio de Janeiro is well-known for its breath taking scenery, surrounded by a lush rain forest and awesome granite mountains, complemented by beautiful beaches and a deep blue sea.

In the last decade Astronomy in Brazil has experienced major growth and development, together with significant participation in the International Astronomical Community, such as the Gemini and SOAR projects.

On behalf of the Brazilian Astronomical community, the National Organizing Committee of the XXVII IAU General Assembly warmly invites you to take part in this coming Assembly, which we hope will be very pleasant and of high scientific interest.

:: Exhibition Rate
Exhibit fee include:

- Shell Scheme Package

  • One (1) standard booth with 9m2 (3m X 3m)
  • Shell Scheme frame

  • 1 table & 2 chairs per m²
  • Fascia board for company name

- Two (2) Complimentary full meeting registrations, three (3) Exhibit Hall Only staff badges, admittance to all functions, breaks, and events that take place within the exhibit hall throughout the meeting, company listing in the XXVII IAU General Assembly final program and company listing on the XXVII IAU General Assembly web site.

It does not include daily cleaning, insurance coverage or night surveillance.

 
:: Assignment of Space
Space will be assigned on a first come serve basis. If a preferred location is not available, JZ Congressos will contact each company to discuss alternative space availabilities.

All reservation requests must be made on the official forms provided and be returned completely filled out.

Reservations sent without the official application forms will not be accepted.

 
:: Sponsorship Opportunities


- Final Programme
To be inserted in all the delegate bags, it will include the final schedule and location of sessions, details of social programmes, and all other important information.


- Pocket Programme
This pocket sized guide provides delegates easy reference to the congress schedule.
Exclusive sponsorship, the company logo will be printed on the back cover of the pocket guide.


- Daily Report
A Report to be published daily during the Congress. It will contain up to date information on sessions, exhibitions and social events. The sponsorship includes exclusive rights to publish report with the company logo on the back cover.


- Poster Exhibition
The installation and assembly of double faced panels used to fix the posters that have been approved for presentation during the Congress.

A logo of the sponsor company will be placed on every other poster board.


- Secretary Office
Compulsory passage for all delegates, the Local Secretary Office is the place where all materials and credentials will be handed out, and is a reference point during the entire event.

Secretary Office: This sponsorship provides an excellent visibility for the sponsors brand, which may be posted on the stand walls, affixed at reception, personnel uniforms and on fittings uniforms and fittings production - costs not included.


- Badges & Lanyards
The sponsor will have the logo presented on the badges and lanyards.


- Coffee Breaks
Official coffee breaks will be served daily to all delegates. The serving points will be located mainly in the Poster Exhibition area. The sponsor will obtain displays with their company logo at each serving point.


- Congress Bags
They will be designed and produced by the Congress Organizers with the logo of the Congress and of the sponsor. Sponsorship includes the sponsors logo on the bags and they will be distributed on site to all participants.
This sponsorship provides to the sponsor an excellent marketing opportunity during the Congress and extended exposure for years to come.
The sponsorship includes a non-exclusive right to insert the sponsor promotional material - flyers in all the Congress bags.


- Pads & Pens
Provided by the Congress Organizers, each Congress bag will include a writing pad and pen identified with the sponsor's logo.


- Congress Bags Insert
The sponsors are welcome to have an insert in the bag, which will be given to each delegate. The insert must be produced by the sponsor.


- Speakers Preview VIP Room
A speakers preview room will be available where speakers can rehearse and review their presentation prior to their session.

The sponsorship includes:

  • The sponsor logo at the entrance of the room;
  • The sponsor logo as a screensaver on each terminal;
  • The possibility to decorate the room and provide and serve coffee and refreshments;
  • The possibility to distribute promotional material and special gifts inside the room

- Internet Corner
A much appreciated and highly atractive item, most delegates without access to private offices wiil use the Internet Corner to access conference information or to check e-mails. Infrastructure will be provided by the IAU XXVII General Assembly.

The sponsorship includes:

  • Floor space with the possibility to decorate the area with furniture and company logos;
  • Display of the sponsor logo on each terminal as a screen saver;
  • Sponsor logo at the signage at the entrance of the Cyber Café;
  • Distribution of special gifts such as company mouse pads - production costs not included

- Congress Signage
A comprehensive range of signs will be positioned throughout the Congress Centre directing delegates to the various areas in use.

The sponsor will obtain the Company's logo on all the signs.


- Social Events
An excellent opportunity for the presence of the sponsor's brand during festive and important moments of the events. The sponsorship includes the sponsor's logo on the invitation cards, banners, napkins and gifts - production costs are the sponsor's responsibility.

:: Technical Exhibition Manual

The Technical Exhibition Manual will be forwarded to all exhibitors in March 2009.

 
:: Cancellation Policy
All cancellations by Exhibitors must be made in writing to the Congress Secretariat.

The cancellation will be subject to penalties as follows:
- Until April 3rd, 2009: 50% of the rental amount will be refunded.
- From April 3rd, 2009: NO REFUND ALLOWED.
